Job Description: The executive assistant provides high-level administrative support to executive-level positions by assisting with projects, surveys, research, and submission of corporate documentation; leading support for the Boards of Directors/Managers and Corporate Committees, administration of corporate records, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for executives.
Track and execute timely submission of corporate documents and maintain corporate records.
Prepare for Board and Committee Meetings and ensure support to same.
Prepare reports, memos, letters and other documents using relevant computer software.
Answer phone calls and direct calls to appropriate parties or take messages.
Record, draft/edit, and distribute meeting minutes.
Greet visitors/callers and determine whether they should be given access to specific individuals.
Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
Perform general office duties such as ordering supplies and maintaining records management database systems.
File and retrieve corporate documents, records, and reports.
Distribute incoming correspondence, including faxes and email.
Oversee Central Administration archiving procedures and document management
Coordinate travel arrangements for executives as needed.
Provides oversight and supervision to front office clerical staff and executive administration assistant positions and functions.
Monitors performance and provides feedback.
Responsible to train and assess skill development.
Approves time, manages time off requests, and ensures adequate front office coverage.
Valid Driver’s License & Reliable Means of Transportation
Associate’s or bachelor’s degree preferred or 5-7 years equivalent experience
