Position: Property Management Assistant (ESG)

Position Summary: Through our supported housing department, TGCW provides housing with case management, housing retention, homeless outreach, and other support services to those referred through Westchester County Single Point of Access (SPOA). We work so those with histories of homelessness and mental illness, or substance use disorders can live independently. We locate permanent housing for participants throughout Westchester County and make rent subsidies available through various government-funded programs administered by:

Westchester County DCMH
Reporting to the Director of Property Management, the Property Management Assistant will work in concert with the Director of Property Management to handle the administrative side of tenant relations matters while ensuring participants, vendors, and property owners needs are met.
Responsibilities: Tenant / Vendor Relations (80%) Schedule apartment cleanings during move-ins/outs, turnovers, and exterminations with outside vendor as needed. Schedule meetings with participant and landlord as needed. Scheduling moves in collaboration with housing case managers. Scheduling Housing Quality Standards inspections for Director of Property Management. Preparing Rent Reasonable Certifications for ESG participants. Create, submit, and file repair orders for ESG participants. Assistant will work with Director of Property Management acquiring initial and lease renewals. Mailing leases both electronic and standard to property managers or owners. Submit check requests as needed. Ensure the collection and completion of necessary documentation to secure apartment (leases, security deposits, W-9 forms, enrollment forms, rent calculation worksheet, etc.) and is submitted in a timely manner to the finance department to execute rent payments. Review lease expiration dates and utilize renewal process checklist to allow adequate time to review and sign new leases Complete HUD Timesheet Compile information needed for ESG reports. Work in collaboration with housing case managers scheduling moves.
Database Management (10%) Maintain up-to-date databases i.e., housing vacancy, leases, rental payment history, repair orders Other (10%) Mailing Certified Letters. Collection of mail from Housing P.O. Box. Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations. Qualifications: BA/BS required (Related Fields: Social Work, Human Services, Psychology, Business, Liberal Arts) Valid NYS Driver's License with a clean driving record with the ability to maintain both in accordance with TGCW insurance guidelines. Excellent time management skills Knowledge of Mt. Vernon and community resources related to housing, Understanding of rental subsidies, lease agreements, eviction process, and alternatives to eviction. Knowledge of local tenant, rental housing law, tenants’ rights, and responsibilities. Ability to take the initiative, prioritize, and meet deadlines independently. Have adequate writing skills to complete reports and other professional documentation quickly and in an organized manner. Knowledge of computer database operation and have basic data entry skills. Nice to Haves: Ability to speak Spanish, a plus. Knowledge of and experience with the Mental Health and/or Substance Use field. Knowledge of the HMIS (Homeless Management Information Systems), a plus. Travel Requirements: Varies due to business needs.
